The Challenge

The users at this semiconductor manufacturing organization were overwhelmed by the number of invoices that they had to process on a daily basis. Adding to this complexity was varying formats and forms.

  • The users had to process around 1500 invoices that they receive from over 300 suppliers, every day
  • The invoices were all in different formats, uses different terminologies, and has varied details
  • On an average each invoice document spans across 2 to 3 pages of scanned PDF.

The task of verifying and keying into the ERP application was done manually by a large team of data entry operators. The work by them caused huge delays and data entry errors were not avoidable.

Solution

KGISL Intelligent Automation practices helped the organization with an automation solution build on UiPath platform that made invoice processing easy.

  • The UiPath robot was introduced and works as an invoice processing tool that would read the invoices from a folder and extract data using Optical Character Recognition (OCR) from the scanned images.
  • The bot then validates the data by accessing an intermediate master data reference to map the item name of OEM in the invoice against the data in the ERP application.
  • After extraction and verification of all these values, UiPath bot feeds relevant data into the ERP application for further processing
